Real use case

Client briefs turned into priced quotes, with two approvals

He runs an AI video business, and client briefs usually arrive missing the deadline, the video length or the budget. His n8n workflow reads the email, the attached PDF and reference images, and an AI step pulls out the details. A plain code step, not the AI, checks what's missing and saves a reply draft asking only for those details. Another code step prices the job from his rate card in Google Sheets, with volume discounts, rush fees, a minimum order and a deposit. He approves the price in Slack, then approves again before the PDF quote goes to the client. His point: let the AI read messy emails, but keep the math and the final send with you.

Copy this prompt

When a client emails a project request, read the email and any attachments and pull out: what they want, quantity, deadline, budget and extras. If any of those are missing, draft a short reply asking only for the missing details and save it as a draft. If everything is there, calculate the price from my rate card [LINK] using these rules: [RULES]. Show me the breakdown for approval. Never send a quote to a client without my OK.

Our own prompt, written from what the source describes. We haven't run it ourselves. Text in [BRACKETS] is what you replace.

Watch out for

  • Don't let the AI set prices. Keep the rate card and the math in a sheet or a formula you can check.
